Associate Vice President, Operations


The Associate Vice President, Operations position is a hybrid role that merges the oversight of property management with hands on financial planning and execution to develop, maintain and project the health and ownership of the real assets of the organization. The position is characterized by a high degree of leadership, responsibility, creativity, vision, accountability, technical aptitude and diplomacy.

Responsibilities:

Direct accountability for all operational asset management functions.
Responsible for managing and leading a Property Management Team.
Regularly evaluate property and portfolio goals in all management areas to promote sound management, accommodate changes in the industry, and portfolio growth.
Review and evaluate capital expenditure requests to ensure they meet budgetary and operational expectations.
Ensuring budget controls are in place to maintain financial objectives
Continually review and evaluate rent structure and incentives for each property with the Marketing Department and the Operations Manager.
Responsible for managing the Net Operating Income for each property within a portfolio
Responsible for achieving full occupancy at all properties within a portfolio
Responsible for ensuring that rent collection is consistent and arrears are managed at all properties within a portfolio
Assist the Vice President, Operations with asset plans for the portfolio encompassing product repositioning, revenue strategies, utility management and asset intensification initiatives.
Review property and capital budgets for Executive Team approval.
Participate in project planning and monitoring with Capital Project Department
Provide due diligence on prospective acquisitions.
Assist in the development of bulk purchasing and procurement strategies.
Other tasks as assigned by management.

Qualifications

Bachelor’s Degree in Finance / Administration
Minimum 3 years experience as a senior property management professional or finance professional
Excellent communication and organizational skills
Excellent leadership and customer service skills

Operations Manager

 

Responsible for delivering efficient and professional management to a prescribed portfolio of properties.  A fundamental requirement of the position is to manage an annual operating and capital budget while maintaining a high level of resident satisfaction, in accordance with CAPREIT policies and guidelines.

Responsibilities:  

Management
Responsible for maximizing the profits by managing NOI and CAPEX budget in their portfolio
Staffing of appropriate office hours
Approve/reject leases
Follow up with assistance of Revenue Specialist on rent collections (AR)
Manage renewals process
Explore ancillary revenue opportunities (ie. parking/lockers)
Take action on vacancy
Ensure tribunal action initiated and followed up (appearance if necessary)
Tenant file compliance
Leases
Letter of Acknowledgements (LOA)
Applications, etc
Work order completion and timing
Identify, report and action potential liability (ie. environmental/tenant/legal, etc)
Approve requisitions and ensure purchasing policies are being adhered to
Assist in the implementation of corporate special projects

Qualifications:

University/college degree or equivalent work experience

Toronto East Portfolio

The Resident Manager or Resident Manager Couple will primarily assume the responsibilities for leasing, rental collection, administration, general maintenance and housekeeping of the property. This is a live-in position that also requires after-hours emergency coverage. Daily maintenance and housekeeping of all common areas including compactor rooms, garbage rooms, elevators, lobby & vestibule, hallways and stairwells, garage or parking lot, storage rooms, mechanical rooms, laundry rooms, moving and mail rooms. Daily administration is required for fire log records, locker control records and the directory board.

Leasing Specialist

This role is primarily responsible for maintaining an occupancy rate of 100%. This is achieved through demonstrating excellent skills in: tenant relations, communication, sales, administration and organization. The Leasing Specialist is also responsible for maintaining a high level of tenant satisfaction. As a Leasing Specialist you will be responsible for maintaining and entering information correctly into the system with respect to their lease dates, rent payments, etc. You will also be responsible for maintaining an accurate account of unit availability and ensuring inspections are performed on vacant units. Finally you will communicate with the Operations Manager and Site staff regarding building and tenant issues.
