Building Operator


We are currently looking for Building Operators for out Toronto West Properties

Under the direction of the Operations Manager you will oversee the co-ordination of all work necessary to maintain the property both inside and out. Areas of responsibility will include the repairs and maintenance for suite turnovers, compactor rooms, hallways and stairwells, garage, laundry and mechanical rooms. Duties include removal of garbage, minor electrical & plumbing repairs, replacement of light fixtures, ensuring all mechanical areas are operational ie. garage doors/ramps and the preventative maintenance of all mechanical systems.

Skills:

Excellent communication skills.
Strong Mechanical background.
Organized and able to handle multiple projects.

Effort:

Patience and diplomacy with occupants.
Able to work long hours.

We are currently looking for a maintenance person for our properties in Oakville.

The Maintenance Person will primarily assume the responsibilities for general maintenance and housekeeping of the property. This is a live-in position that also requires after-hours emergency coverage. Daily maintenance and housekeeping of all common areas including compactor rooms, garbage rooms, elevators, lobby & vestibule, hallways and stairwells, garage or parking lot, storage rooms, mechanical rooms, laundry rooms, moving and mail rooms. Daily administration is required for fire log records, locker control records and the directory board.

Site Administrator


We are currently looking for a Site Administrator for our properties in Midtown Toronto.

Under the supervision of the Operations Manager, the Site Administrator is primarily responsible for the administration of all site requirements that is achieved through demonstrating excellent skills in: tenant relations, communication, sales, administration and organization. The Site Administrator must ensure new tenants are correctly entered into the system with respect to their lease dates, rent payments etc. and that the correct name appears on the rent rolls. It is the responsibility of the Site Administrator to ensure the Tenancy Agreement and all other documents are correctly prepared and executed. The Site Administrator will market and rent vacant suites in the building with the intent of maintaining an occupancy rate of 100%, they will also conduct tenant relations with the intent of achieving and maintaining a high level of tenant satisfaction.

Other Factors:

Working hours must correspond with high traffic hours of tenants and prospective tenants
The last day of the month and first day of the month are high traffic hours

Administrative Coordinator


We are currently looking for a Administrative Coordinator for our properties in Central Toronto.

Responsible for providing administrative support to the regional operations group in order to ensure effective and efficient follow-up in regards to H.R., Life and Safety and administrative duties. Service the staff and the residents in a prescribed portfolio in accordance with CAP REIT policies and guidelines. Areas of daily responsibilities include completing Hiring package forms, assisting and supporting new employees. You will be required to liaise and facilitate employee concerns with Head Office, answer phones and tenant inquiries as well as manage tenant letters and e-mails and coordinate response letters to tenants and building notices.

Accounts Payable Manager


Provide administrative and management support to the Accounts Payable Staff. The Accounts Payable Manager will ensure that all invoices are processed for payment within terms, ensure the process flow of invoices and payments are in adherence to Accounts Payable Policy and Procedures. Identify and implement business process system improvements, perform project management responsibilities for implementing process improvements, prepare metrics reporting and prepare/review Accounts

Responsibilities:
Accounts Payable Department

Supervision of AP staff

Bill-198 documentation and ensuring compliance with company policies and procedures
Develop and maintain training documentation
Training of all new staff and continuous training sessions when needed
System migration from AS 400 to an ERP

Spendmap

review Spendmap coding for new items
co-ordinate with Procurement on issues related to vendor non compliance
co-ordination with Procurement and Operations on various vendor issues and system compliance
documenting/ updating AP process related to the invoice discrepancy process (implemented in September 2009)
Co-ordination with Procurement and Spendmap on system issues.

Invoice Process

management of processing and payment of operation expenditures
management of processing and payment of capital expenditures
management of processing and payment of corporate expenditures which are in scope with Spendmap
upload daily AP interface files and oversee the reconciliation of the AP interface between Spendmap and AS400
develop, standardize and update the process documentation. Update procedure manual for the workflows, processing of AP, filing, cheque runs etc.

Vendor Process

oversee and reconcile vendor listings of Spendmap and AS400 to ensure compliance and integration between the systems

oversee operating contract compliance
coordinate quarterly and annual audit requests

Cheque Issuance

set-up and manage policies and procedures related to automated cheque issuance
management of daily/weekly cheque runs
management of cheque stock and cheque printers

Month-end activities

prepare, issue and ensure adherence to the month-end AP close time table / activity checklist.
upload journal entries for 1) non-PO invoices, 2) invoices received after cut-off, not received in the system, 3) invoices received after cut-off, no PO in the system and 4) Vendor rebates..
oversee held report reconciliation
AP gl and sub-ledger verification
reconciliation of accrual text file to pdf file.
Spendmap vs. AS400 reconciliation
oversee duplicate accruals assessment
oversee RNI (received not invoiced) analysis
sign-off the activity check list on the due date and submit to the Controller.

Other

ensure queries from the following are responded within a turnaround time of 24 hours:

1. external vendors;
2. procurement
3. all accounting teams and other staff members.
assist in the testing of system enhancements, upgrades and conversion of software’s including Spendmap. Sign-off the UAT (user acceptance test) for the final implementation.
testing and implementation of ERP system.
Other projects and tasks as assigned by the management.

Qualifications

Bachelors degree in accounting or business
3-5 years relevant experience

Leasing Specialist

This role is primarily responsible for maintaining an occupancy rate of 100%. This is achieved through demonstrating excellent skills in: tenant relations, communication, sales, administration and organization. The Leasing Specialist is also responsible for maintaining a high level of tenant satisfaction. As a Leasing Specialist you will be responsible for maintaining and entering information correctly into the system with respect to their lease dates, rent payments, etc. You will also be responsible for maintaining an accurate account of unit availability and ensuring inspections are performed on vacant units. Finally you will communicate with the Operations Manager and Site staff regarding building and tenant issues.
